We are looking for an organised and reliable Talent & Admin Assistant to manage day-to-day recruitment coordination and related documentation. This role focuses on execution and follow-through across hiring, onboarding, employee records, and visa and insurance coordination, working closely with hiring managers and external PRO partners.

This is a hands-on role suited to someone who is detail-oriented, structured, and comfortable handling confidential information.

Core Responsibilities


Recruitment Coordination
  • Coordinate interview scheduling, candidate communication, and feedback collection
  • Support job postings, CV screening, and shortlisting based on defined criteria
  • Maintain recruitment trackers and hiring status updates
  • Prepare offer documentation once approved

Onboarding & Employee Lifecycle Support
  • Coordinate onboarding logistics: contracts, documentation, system access, inductions
  • Ensure probation timelines, confirmations, and documentation are tracked
  • Maintain accurate employee records and personnel files
  • Support exit processes and documentation coordination

PRO & Legal Coordination
  • Liaise with PRO for visas, labour cards, Emirates IDs, renewals, and cancellations
  • Track visa timelines, trade license dependencies, and required documents
  • Coordinate approvals and paperwork, escalating risks or delays promptly
  • Maintain compliance trackers (visas, IDs, labour records)

HR Operations Support
  • Support payroll inputs, leave records, and attendance data coordination
  • Assist with audits, reporting, and documentation when required
  • Ensure confidentiality and data accuracy at all times

What You’ll Need

  • Previous experience in recruitment coordination, office coordination, or similar roles
  • Basic knowledge of UAE visa and labour processes
  • Strong organisational skills and attention to detail
  • Good communication skills in English
  • Comfortable handling confidential documents
  • Able to manage multiple tasks and follow through
