The Administrative Assistant supports the show’s day-to-day operations across logistics, shoot hospitality, team coordination, documentation, and expense tracking. This role keeps everything organized before, during, and after shoots so the team can focus on delivery.
Key Responsibilities
Logistics & Shoot Support
- Coordinate shoot logistics including schedules, call times, locations, transport, and travel arrangements.
- Ensure on-set hospitality is ready: meals, refreshments, guest comfort, and special requests.
- Support the production team with on-ground requirements during shoot days.
Team Coordination & Attendance
- Track team attendance and maintain accurate records.
- Follow up with team members to ensure readiness and punctuality for shoots and meetings.
Documentation & File Organization
- Maintain a clean and structured drive system with properly named and accessible files.
- Coordinate media and marketing communication folders and ensure smooth internal sharing of assets.
Expense Tracking & Reporting
- Maintain organized expense sheets for the show and related projects.
- Collect receipts and invoices, verify records, and ensure timely submission for finance review.
General Administrative Support
- Provide day-to-day administrative support to the team.
- Assist with ad-hoc production and operational tasks as needed.
Required Skills & Qualifications
- Fluent in English (spoken and written). Arabic is a plus.
- Strong organizational and time management skills.
- Comfortable using Google Sheets or Excel for tracking expenses.
- Confident managing file systems such as Google Drive or Dropbox.
- Clear communicator with strong coordination skills.
- Able to multitask in a fast-paced production environment.
- Calm under pressure with a practical problem-solving mindset.
- Previous experience in admin, logistics, or production coordination is a plus.
