Role Summary
The HR & Recruitment Executive supports the HR & Office Manager in executing recruitment coordination, HR administration, employee documentation, visa processing support, and payroll preparation tasks.
This is an execution-focused role responsible for ensuring HR processes are properly documented, tracked, and followed through with accuracy and timeliness.
The role does not hold hiring approval authority but supports process implementation and compliance documentation.
Key Responsibilities
A. Recruitment Coordination & Support
1. Job Posting & Candidate Sourcing
Post job advertisements on approved platforms.
Source candidates through job portals and internal databases.
Maintain and update employee and candidate tracking systems (KEKA).
Conduct initial CV screening based on defined criteria.
Coordinate interview scheduling between candidates and hiring managers.
2. Interview & Hiring Process Support
Prepare interview documents and evaluation forms.
Collect feedback from interviewers.
Maintain recruitment tracker and status updates.
Prepare offer letters upon approval from HR & Office Manager.
Coordinate candidate pre-employment documentation.
B. Onboarding Administration
3. Employee Documentation
Prepare employment contracts as approved.
Collect and verify onboarding documents (passport, visa copy, certificates, etc.).
Maintain new joiner checklist and onboarding tracker.
Ensure employee files are properly created and stored.
4. Orientation Support
Schedule onboarding sessions.
Prepare induction materials and welcome kits.
Ensure completion of onboarding documentation before confirmation.
C. Visa & Government Process Administration
5. Visa Processing Support
Prepare visa documentation for submission to PRO.
Track visa status updates (new, renewal, cancellation).
Maintain visa expiry tracker and notify HR & Office Manager in advance.
Coordinate medical and Emirates ID appointments.
Apply for employee insurance.
D. Attendance & Payroll Support
6. Attendance & Leave Tracking
Maintain monthly attendance reports.
Track leave balances and record updates.
Prepare payroll input sheet for HR & Office Manager review.
Document absenteeism cases and escalate discrepancies.
E. HR Records & Compliance
7. Filing & Documentation
Maintain physical and digital employee files.
Ensure all employee documents are updated and complete.
Archive performance reviews and disciplinary documents.
Maintain confidentiality of employee information.
F. General HR Administrative Support
Assist in preparing HR letters (salary certificates, NOCs, warnings).
Update HR trackers and reporting sheets.
Support performance evaluation coordination.
Provide administrative support to HR & Office Manager when required.
G. Emiratisation, GPSSA & NAFIS Compliance Execution
Assist in executing the company’s Emiratisation hiring initiatives as directed.
Support job postings and candidate sourcing aligned with Emiratisation targets.
Coordinate onboarding documentation for UAE and GCC National employees.
Prepare and process documentation required for GPSSA (General Pension and Social Security Authority) registration of UAE and GCC Nationals.
Assist with registration and documentation processes related to the NAFIS program, where applicable.
Maintain updated GPSSA and Emiratisation compliance trackers and submission records.
Monitor deadlines for regulatory submissions and notify the HR & Office Manager in advance.
Ensure all related documentation is properly filed and audit-ready.
All regulatory approvals, strategic decisions, and final compliance accountability remain with the HR & Office Manager.
